Register assets
The asset is the equipment your team inspects, registered in the organization. A part is a component installed in an asset. Both live on the Assets page of the administrative panel, which is titled Assets and parts.
Registering the asset saves typing brand, model and serial number on every work order, and lets the technician identify the equipment by scanning a QR code with the camera.
1. Register an asset or a part
Section titled “1. Register an asset or a part”- Go to Assets and click New asset.
- In Type, choose Asset / Equipment or Part.
- Fill in Name, for example Compressor 01.
- In Brand and model, pick from the list or type. If the brand or the model does not exist, the Use “…” as free text option accepts what you typed.
- Choose a Category or create one with + New category….
- For a part, give the Parent asset (where the part is installed). An asset can also have a Parent asset, to build a hierarchy.
- Fill in the identifiers you have: Serial number, SKU and Barcode / QR code.
- Click Save. The screen confirms with Asset created.
Name, brand and model are required. The screen refuses a duplicate record with the message An asset with these identifiers already exists (name+brand+ model, SKU, serial number or QR code).
2. The QR code
Section titled “2. The QR code”In the Barcode / QR code field:
- If the equipment already carries a coded label, type that code.
- If it does not, click Generate. Inspekio creates a unique code.
With the code filled in, Print opens the label for printing and Download PNG saves the image. Stick the label on the equipment. In the app, an Asset / Part field reads that code with the camera and fills the asset in with no typing.
3. Photos
Section titled “3. Photos”Under Photos, attach up to 10 images per asset. Set as cover picks the one that shows in the list. The photo helps the technician confirm they are in front of the right equipment.
4. Find an asset
Section titled “4. Find an asset”The Search by name, brand, SKU, serial or QR… field filters the list as you type. The All, Assets and Parts filters split by type, and Filter by category by category.
Each row has View details, Edit and Delete. The details also show the Linked to this asset list: the parts and sub-assets pointing at it.
5. Import a spreadsheet
Section titled “5. Import a spreadsheet”-
In Assets, click Import.
-
Click Download example file to see the columns:
tipo,nome,marca,modelo,sku,numero_de_serie,qr_codeandcategoria. -
Paste the contents or upload the file (.csv, .tsv, .xlsx or .ods). The first row has to be the header.
-
Click Preview. Each row gets an action:
Action What happens Add No matching asset exists. A new one will be created. Update An existing asset was matched by QR code, SKU, serial number or name with brand and model. It takes the row’s values; empty fields keep the current value. Fix The row has a problem, such as a missing brand. Use Fix to adjust it on the spot or Skip to leave it out. Skipped Nothing will be done with the row. -
Click Confirm import. The screen confirms with Import complete and how many were added and updated.
The import never deletes anything. A new category in the spreadsheet is created on the spot.
6. Delete an asset
Section titled “6. Delete an asset”Delete asks for confirmation. Linked parts and sub-assets are not deleted: they only lose the link. Work orders that used the asset keep the brand, the model and the serial number that were on the record.
7. Where the asset shows up
Section titled “7. Where the asset shows up”- On the work order. When creating a work order in the panel, the Asset / part field searches the registry as you type the serial number, the SKU or the code. If the equipment is not registered, you can carry on with a free number.
- On the checklist. An Asset / Part field asks the technician to pick the asset from the list or scan the QR code. See Build a checklist.
- On the report. The asset field prints the columns you choose under Asset columns to show in the report: Name always, plus Serial number, SKU and Brand / Model if ticked.
