Read the checklist answers

After the technician answers the checklist on the phone, you check the result in the administrative panel, without waiting for the report. It is where you see each answer, each photo and the time of each record.

On the WO page, open the work order with View details and go to the Checklists tab.

If the work order has more than one checklist, a strip at the top lists each one with its name and the percentage complete. Click the name to switch. With a single checklist, the name and the description show above the answers.

If no checklist was linked, the tab answers No checklist linked to this work order. See Create and assign a work order, section Change the work order after creating it, to link one.

The steps appear in the order of the checklist, one per block, all open. In the header of each step:

What you see What it means
3/7 answered How many fields of the step already have an answer.
The times and the duration When the step started, ended and how long it took.
1h 20min idle before The time stopped since the end of the previous step.

Click the header to collapse or open that step. Collapse all closes every step at once, and the button turns into Expand all.

A step the technician has not started yet shows no times. A step started and not yet complete shows in progress in place of the end time, and no duration. For what each time measures, see Read the work order times.

Inside the step, each field carries the label, the type and the answer. The asterisk next to the label marks a required field, and the legend above the steps explains it: required field.

  • A field with no answer shows — and is dimmed.
  • Yes or no shows as ✓ Yes or ✗ No. “Not applicable” shows as — N/A.
  • A verification shows ✓ Passed, ⚠ Alert or ✗ Failed.
  • A signature field shows the signature on record. If the record arrived without the image, it shows No signature.
  • The note the technician wrote next to the answer shows below it, after Notes:.

To the right of the label is the time of the record. Hover over it to see Recorded at with the full date and By with the name of whoever answered — useful when two technicians worked on the same work order. See Two technicians on one work order.

An answer that was corrected in the panel after the close shows the edited mark, and the pointer over it brings Edited by with the name and the time. The answer keeps the name of whoever recorded it in the field: the mark says somebody else changed it later.

On a Finished work order, if you are an Admin or the owner of the organisation, each field also gets the edit button. See Correct a finished work order.

A checklist can have conditional fields and conditional steps: they only apply when an earlier answer meets the rule. In the answers, the condition is written out, so you do not have to open the checklist to understand it.

  • Below the label of a conditional field: Shown when Pressure > 10. The field is also moved to the right, one step per level.
  • Below the name of a conditional step: Shown when Equipment condition = Poor. That line stays visible with the step collapsed.

The rule is written with the label of the field that triggers it, the comparison sign and the expected value. Two cases come out in words:

  • When the field that triggers it is a photo or video field: Pressure has a photo or video.
  • When the rule accepts several values: Equipment condition is one of Poor, Critical.

Fields and steps with no condition show none of these lines.

A photo or video field shows the thumbnails of what was captured. Click one to open it large and move through the others. A video opens with the playback control.

  • No media means the field was left with no photo and no video.
  • 2 syncing… means the technician already captured it, and the file is still going up from their device. The answer has arrived; the image comes later. See Work without internet.

Above the answers, Last sync says when the media of this work order last went up from the technician’s device. With the technician in the field with no signal, that time stays behind the time of the capture.
