Correct a finished work order
A finished work order takes no more changes from the technician on the phone. In the administrative panel you correct a wrong answer, remove a photo that should not be there and add the one that was missing.
Every correction is recorded with the name of who made it, the time and the reason you write. Nothing is erased in silence.
1. Who can correct, and when
Section titled “1. Who can correct, and when”Three conditions, all of them needed:
- The work order is Finished. On an Open or In progress work order the technician is the one who answers, on the phone.
- You are an Admin or the owner of the organisation. Whoever signs in as a Technician does not see the edit button. If the attempt reaches the server, the answer is Only admins and the organization owner can correct answers.
- The work order was not cancelled. On a cancelled work order the screen answers A cancelled work order cannot be corrected.
2. Correct an answer
Section titled “2. Correct an answer”- On the WO page, open the work order with View details and go to the Checklists tab.
- Find the field. Next to its label there is the edit button, the pencil, with the hint Edit. Click it.
- The editor opens below the answer on record. The old answer stays on screen until the save finishes.
- Fill in New value. The input you see is the one of the question type: text, number with its unit, list of options, Passed, Alert and Failed, date, signature or asset.
- If the field takes a note, Notes: comes with what the technician wrote. Correct it or clear it.
- Write the Reason for the change (optional). The example on the screen itself: E.g.: value typed wrong.
- Save records it and the screen confirms Answer updated. Cancel drops the correction.
On a Signature field, sign in the box at Sign here. Save only becomes available after you draw, or after you change the note: a signature you did not redraw stays as it is.
The panel applies the same rules as the checklist. A value that does not pass is refused, and the message says which rule stopped it — Choose one of the field options., The value is outside the field limits., This field is required. Enter a value. Correct the value and save again.
3. Remove, restore and add a photo
Section titled “3. Remove, restore and add a photo”On a photo or video field the same edit button opens the media editor. It works on the whole field, and nothing is recorded until you use Save.
- Each thumbnail gets the Remove button. Before you save, Undo cancels the removal.
- Add photos or videos opens the file picker of the computer. While the file is being prepared the button shows Processing…. The formats accepted are JPEG, PNG, WebP, AVIF, HEIC, MP4 and MOV.
- The photos already removed stay in the Removed list, with the date in removed on. Restore marks one to come back, and the caption changes to will be restored.
- Save applies everything at once and confirms Media updated.
The field keeps the minimum and the maximum the checklist asks for, shown as min. and max. next to the count. If your edit breaks either of them, the editor warns before it records: The field would have fewer media than its minimum. or The field would have more media than its maximum.
The removal also reaches the technician’s app: on their next sync, the photo leaves the phone. Restore gives the photo back in both places.
4. The report becomes out of date
Section titled “4. The report becomes out of date”A report already generated does not change with your correction. On the Report tab, each report generated before it starts to show the notice An answer or an attachment of this work order changed after this report was generated. Generate the report again to include the change., with the Generate again button.
The new report is generated next to the old one. If you had already sent the link of the old one to the client, revoke that link and share the new one. See Share the report with the client, section Cancel the access.
5. Where to see what was corrected
Section titled “5. Where to see what was corrected”On the Checklists tab, the corrected answer is marked with edited. Hover over the mark to see Edited by with the name and the time.
The Audit tab has the full record. Two buttons filter the list: All changes and Changed answers. Each correction shows as Answer changed, Attachment removed or Attachment restored, with:
| What you see | What it shows |
|---|---|
| Old value and New value | The answer before and after the correction. |
| Origin | Web admin or App, where it came from. |
| Reason | What you wrote when you saved. |
This is how you answer “who changed this, and why” months later, without depending on anybody’s memory.
A correction in the panel does not touch the times of the work order. They measure what the technician did in the field, and they stay the same after you correct. See Read the work order times.
6. An answer that arrives after the close
Section titled “6. An answer that arrives after the close”The technician may have answered in the field with no signal, and their phone only manages to send after the work order is finished. The server decides by the time the phone recorded the answer, not by the time it arrives:
- Recorded before the work order was finished: the answer goes in normally, even arriving later.
- Recorded after: the server keeps what is recorded on the work order and stores the refused value on the Audit tab, as Conflict resolved. The screen explains: The work order was already closed when this answer arrived from the app. The stored answer was kept and the sent value was discarded.
A technician who is still assigned to the work order and did not finish it is the case apart: they keep answering and sending on the phone. See Two technicians on one work order.
