Create your account and your organization
You do this once, on a computer, at admin.inspekio.com. A technician who will only run work orders does not need this page: they get an invite and sign in through the app.
1. Create the account
Section titled “1. Create the account”- Open admin.inspekio.com and click Create account.
- Fill in your name, email and password. The password needs at least 8 characters.
- Click Create account.
You can also use Sign in with Google or Sign in with Apple. That way there is no password to remember and the email is already confirmed.
The sign-in screen also has Sign in without a password, which emails you an access link. It signs you in; it does not create the account.
2. Confirm the email
Section titled “2. Confirm the email”Inspekio sends a confirmation link to the email you registered. Open that link before you continue: without a confirmed email you cannot create the organization.
Nothing arrived? Check the spam or promotions folder. The message on screen shows which address the link went to — if it is wrong, create the account again with the right address.
3. Create the organization
Section titled “3. Create the organization”After you sign in, Inspekio opens a three-step sign-up: Organization details, Areas of work and Initial checklists. Continue moves on, Back returns without erasing what you already filled in. The organization is created only when you finish the third step: leaving halfway through leaves nothing behind.
The organization is your company’s space: clients, team, checklists and reports live inside it and never mix with another one’s.
Step 1 — Organization details
Section titled “Step 1 — Organization details”The name needs at least 3 characters. Tax number, phone, website, address, colours and logo are optional: they build the report header and you can fill them in later, on the Organization page.
Step 2 — Areas of work
Section titled “Step 2 — Areas of work”Choose what your company works on. The screen explains: Choose the areas the company works in. This decides the checklists suggested next and can be changed later in Settings.
The list comes by sector, one card each: Industrial, HVAC and refrigeration, Electrical, Building and facilities and Other.
- Ticking the sector checkbox chooses every area in it at once. That is what most companies need.
- Clicking the rest of the card opens the areas one by one, for whoever works on part of a sector. The card then shows how many you ticked, as 2 of 5 areas.
At least one area is required. With none, the screen answers Choose at least one area of work. If no sector fits, tick Other and describe yours in What is your area?.
Step 3 — Initial checklists
Section titled “Step 3 — Initial checklists”The ready-made checklists for the areas you ticked come already checked. The screen says: The templates for your area are already checked. Uncheck what you do not want, clear the filter to see every template, or start without checklists.
You have four ways out:
- Leave it as it is and go on with the checked templates.
- Uncheck what does not fit.
- Clear the Areas filter, which shows the whole catalog. A template from another area can be picked on purpose.
- Tick Start without checklists and build your own later.
Create with AI is the fifth: it creates the organization and opens the AI box for you to describe the checklist you need.
When the catalog has no template for your areas, the step shows only that way out, with the notice We have no ready-made checklists for your areas yet. The See all templates button opens the whole catalog anyway.
Click Create organization. The confirmation is Organization created. The checklists you chose are ready.
To create another organization later, see the Create another organization section at the end of this page.
To change the areas later, go to Organization and open the Areas of work section. The screen says what the change does: Only changes the default filter when choosing templates. Nothing is installed or removed.
4. Invite the team
Section titled “4. Invite the team”Go to Team and click Invite member. Pick the role: Admin for whoever manages from the panel, Technician for whoever runs work orders in the app. The person shows as Invited until they accept.
Roles, the Can manage work orders permission, groups and importing several people at once are in Invite the team.
5. Install the app
Section titled “5. Install the app”The technician does the work in the app, on a phone or a tablet. The App Store and Google Play buttons are on the Organization page, in the Mobile app section.
The same pair of buttons appears in a notice at the top of Dashboard, WO, Checklists and Team, with a QR code to point your phone camera at. Already installed removes the notice from your screen.
Once installed, signing in with the same account makes the invite appear on the Invites screen inside the app.
Create another organization
Section titled “Create another organization”Today a second organization goes through the Inspekio team.
Go to Organization. In the Your organizations section, click + New organization. The notice More than one organization opens: Managing more than one organization will be available soon. If you need another organization now, contact us and we will review your case. Close leaves the notice.
To ask for one, see Talk to support.
A second organization is for separating independent companies or business units, each with its own clients, team and reports. Branches and teams of the same company work better in a single organization: the work order of any branch shows on the same Dashboard, and the whole team stays in one Team list.
What to decide before you ask
Section titled “What to decide before you ask”The team asks what the new organization starts with. There are three answers:
- Share with an existing organization. The new organization uses the same checklists, report templates, clients, root causes, work order types and additional fields as an organization you already have. Nothing is copied.
- Include the segment defaults. Installs the default checklists for the chosen areas of work, with their report templates, plus the default root causes, work order types and additional fields. It is the same content as your first organization, written in the language you choose for the new one.
- Include nothing. The organization starts empty. You copy a template from New from template or build your own. See Build a checklist.
None of the three includes: members, invites, groups, assets, work orders and what was recorded in them, work order numbering, and the organization settings (colours, logo, language and areas of work). Invite the team and register the assets in the new organization. See Invite the team and Register assets.
With Share, the items stay in the language they were written in. The language of the new organization does not translate them.
