Work without internet and sync later
The app was built for the field with no signal. Answers and photos stay on the device the moment you record them and go up on their own when the connection comes back. You do not lose work by being offline.
With the app closed, uploads depend on the phone letting Inspekio run in the background. See Sync with the app closed.
How to tell which state you are in
Section titled “How to tell which state you are in”The app shows the state all the time:
| What you see | What it means |
|---|---|
| Offline mode — showing local data | No internet. You keep working. |
| Synced with server | Nothing pending. |
| Syncing… | The upload is running. Keep the app open. |
| Not yet uploaded | Saved on the device; it goes up when it can. |
| X items waiting for sync | The size of the queue. |
Saved locally under an answer means that answer is already safe on the device.
What works offline
Section titled “What works offline”Running the work orders already downloaded to the device, answering checklists, taking photos and videos, and setting the root cause.
What needs internet: accepting an invite, opening a work order that has not been downloaded, refreshing the root cause list and generating the report.
A work order that never reached the device shows Unavailable offline. Connect once to load it; after that it works offline.
The sync queue
Section titled “The sync queue”Sync queue lists what has not gone up, split by work order: checklist answers, photos, videos, assignments. Try all now forces the upload.
You can also force it without opening the queue: on the WOs list, the Sync button and pulling the screen down send the answers and the photos. Leaving a step with the phone connected already starts the upload of its photos.
Some common reasons the queue does not move:
- Waiting for Wi-Fi — uploading over mobile data is off. Tap Configure to allow it. Turning Sync over mobile data on starts the upload right away, answers and photos: you do not have to wait or tap Try all now.
- No permission to send this item. Contact your administrator.
- This work order was closed by the admin. — the server no longer accepts changes to it.
- You were removed from this work order. — ask the admin to add you back.
Uploads that ran out of retries appear under Failed syncs, with Resend all.
Signing out does not clear the queue
Section titled “Signing out does not clear the queue”The queue belongs to your account, on that device. Sign out in the app profile deletes nothing of what is waiting to go out.
Before you sign out, the app asks under Confirm sign out and says what is pending:
- You have 3 changes not sent yet. They will be sent when you sign in again on this device. — the number adds up the queue, the media and the answers waiting for the work order on the server.
- No internet. You will need a connection to sign in again. — shown when you are offline.
Cancel goes back without signing out. Sign out ends the session. With internet, the app tries to send the queue for a few seconds before it ends.
Two technicians who share one device have separate queues: what one recorded goes out when that account signs in again, and it does not mix with the other’s.
The queue also stops when your session expires. The app stays open and shows a banner at the top; nothing goes out until you sign in again with the same account. Once you sign in, the answers and the photos held on the device go up without you tapping anything else. See I cannot sign in.
Answers waiting for the work order on the server
Section titled “Answers waiting for the work order on the server”Sometimes the work order list shows a notice like 3 answers waiting for the work order on the server, and the queue carries the Waiting for the work order on the server group. It explains: These answers stay on the device. The work order was deleted or is no longer visible to you; they are sent if it comes back.
This is what happens when you had already answered something in the field and then the work order left your hands: it was deleted in the panel, or you stopped being responsible for it.
The first time the app connects, it confirms with the server what happened to that work order. The result decides what you see:
- The work order was deleted in the panel. The app deletes the work order and its answers from the device, and the notice leaves the list on its own. Those answers are not uploaded.
- You stopped being responsible for the work order. The answers stay held. Ask the admin to add you back; when the work order comes back to you, they go up on their own.
- The app could not confirm. With no internet, or with the server not answering, the answers stay held and it tries again later.
- The work order left your hands more than 90 days ago. After that, the server no longer keeps the record of the deletion, and the app cannot tell a deleted work order from one that stopped being yours. The answers stay held, with the notice on the list. Ask the admin whether the work order still exists: if it was deleted, those answers will not go up.
So the sentence on the screen — they are sent if it comes back — holds for the case where you stopped being responsible. A deleted work order does not come back.
The answers in that group do not delay or block the rest of the queue: whatever belongs to other work orders keeps going up as usual.
Before deleting anything
Section titled “Before deleting anything”Two actions in the app delete real work: Clear sync queue and Delete failed media. What is in the queue has not reached the server and does not come back.
Check first, in this order:
- Open the administrative panel on a computer.
- Confirm the work orders already have the photos and videos you need.
- Only then delete.
Clear offline data is different and is safe: it removes only what was downloaded (checklists, work orders, organizations) and downloads it all again on the next online access. It does not touch what is waiting to go up.
Keep the offline data current
Section titled “Keep the offline data current”Under Offline configuration you see Last update and Next automatic. Update now downloads right away — useful before heading into the field.
Do it in the office, on Wi-Fi, whenever a new checklist or root cause has been registered.
