Share the report with the client

A generated report can be sent to the client three ways: a link that opens in a browser, a WhatsApp message or an email. All three use the same public link, with an expiry you choose.

The client does not need an Inspekio account to open the link.

This page starts after the report exists. To generate one, see Run a work order on your phone, section Generate the report.

In the administrative panel, open the work order and go to the Report tab. Each report with the Completed badge has View report, the download PDF button and Share.

In the app, open the work order and tap Manage reports. Each finished report has View, Regenerate and Share.

A report with the Generating… badge cannot be shared yet. One with the Failed badge says the report could not be generated and offers a new generation: in the administrative panel, under Generate new report; in the app, under Regenerate.

The Generating… badge does not stay for ever. A report that does not finish turns to Failed on its own in about eight minutes. The screen refreshes by itself: there is no need to reload the page or keep tapping the button.

The Share report panel opens with the Public link field empty and the text Click “Copy link” to generate. The link only exists once you ask for it: no report sits exposed without somebody deciding so.

Click Copy link. Inspekio generates the link, copies it to the clipboard and confirms with Link copied to clipboard.

In the app the same panel uses Copy for the clipboard and Share to send the link through the apps on the device.

Link valid for sets the term. The options are 7 days, 30 days, 90 days and 365 days. Once generated, the link shows Expires on with the date beside it.

Changing the term with the link already created generates a new link and confirms with Link expiration updated. Whoever had the previous link needs the new one.

Past the term, anyone opening it sees Report unavailable and This link has expired. Please request a new link.

The WhatsApp section brings a ready message with the client’s name, the work order number, the equipment and the link. Edit the text in the box if you want.

Open WhatsApp opens WhatsApp with the message written. If the client has a phone number on record, the conversation opens on it. You still have to send the message in WhatsApp: Inspekio does not send it for you.

In the app the button is called Share on WhatsApp.

The Email section comes filled with the client’s registered email, if there is one. Change it if it is for somebody else and click Send by email.

The confirmation is Report sent to followed by the address. Unlike WhatsApp, here Inspekio sends the message.

With no address filled in, the screen answers Enter an email.

Revoke link kills the link right away and confirms with Link revoked. Anyone holding the address now sees Report unavailable.

Use it when the report went to the wrong person, or when the term has to end before the date.

To share again, generate a new link with Copy link. The address is a different one: the previous one does not come back.

The link opens a page titled … report with the work order number, the report on screen and the Download PDF button. There is no login, no menu, and no access to any other part of Inspekio.

If the link is wrong or the report was deleted, the page answers Report not found.

In the panel, in the report’s action menu, Access details lists each opening: Report viewed or Media opened, the date and the device. Anyone who had an Inspekio session open appears by name; the rest appear as Anonymous.

The summary at the top counts Accesses, Views, Media, Identified and Anonymous. With no opening yet, the screen shows No accesses recorded yet.

This is how you confirm the client received it, without asking.

A report generated before the sync queue emptied comes out without the photos that have not gone up. The fix is the same in both places: wait for the queue to empty and use Generate again.

The new report is generated beside the old one. Revoke the old one’s link and share the new one.

See Work without internet.

The same goes for a correction made after the report came out. In the administrative panel the old report starts to warn An answer or an attachment of this work order changed after this report was generated. Generate the report again to include the change. See Correct a finished work order.
